As the Administrative Assistant, you will provide daily administrative support to the Housing Solutions division to maintain an efficient and well-organized office environment. You will also provide specialized project and program administrative support to our team of Project Managers and Strategists, contributing to the delivery of many high-profile initiatives under Home is Here: The City of Calgary's Housing Strategy. Primary duties include:
  • Advance housing projects and programs by conducting basic research and analysis, liaising with internal and external partners, coordinating logistics for meetings and events, and supporting with financial tracking and reconciliation.
  • Draft and proofread project documents, templates, reports, and other deliverables.
  • Provide administrative support including managing the calendar for the Manager, Housing Solutions, scheduling meetings, booking professional development and travel arrangements, and reconciling IT and credit card statements.
  • Assist the Housing Solutions leadership team with staff recruitment and onboarding, employee engagement, culture building, and coordination of team meetings and events.
  • Conduct office management by ordering supplies, furniture, technology, and equipment; supporting space planning; and organizing staff moves as needed.
  • Coordinate effective records management by supporting the division to apply Corporate standards, organize and trim digital and physical files, and respond to information requests or audits.
  • Triage and respond to housing-related inquiries from the public and interested parties.
 
Qualifications 
  • A completed 1 year certificate in Business Administration or a related field and at least 5 years of related experience that includes project or program administrative support.
  • Intermediate level of proficiency in Microsoft Office Suite (Excel, Outlook, Teams, and SharePoint) is required.
  • Excellent interpersonal and communication skills with the ability to collaborate and work as an effective team member.
  • Ability to thrive in a fast-paced environment and adapt quickly to changing priorities.
  • Ability to work independently with limited supervision, demonstrated initiative, and problem-solving skills.

Compensation: Pay Grade 7 $33.33 - 44.60 per hour
Days of Work: This position typically works a 5 day 
work week, with 1 day off in each 3 week cycle. 
Hours of work: Standard 35 hour work week
