The Council Liaison provides support to 14 Councillors and up to 50 Councillor Assistants in the areas of procurement, financial account management, facilities management, software support (including Dynamics 365 design and support), HR contracts, onboarding, budgets, credit card processing, non-purchase order processing and other matters required to support Councillors and ward office staff. To help facilitate efficiency for ward offices, this role acts as a liaison between other City of Calgary departments, Councillors, The Council Liaison provides support to 14 Councillors and up to 50 Councillor Assistants in the areas of procurement, financial account management, facilities management, software support (including Dynamics 365 design and support), HR contracts, onboarding, budgets, credit card processing, non-purchase order processing and other matters required to support Councillors and ward office staff. To help facilitate efficiency for ward offices, this role acts as a liaison between other City of Calgary departments, Councillors, and their staff. Primary duties include:

  • Provide support and information to facilitate the hiring, on-boarding, and training of Councillors Assistants.
  • Regularly liaise and coordinate work with enabling services on behalf of Councillors and Councillors Assistants to ensure that necessary services such as information technology and systems, facilities, human resources, financial management (including credit card processing) are processed through contacts with business partners and subject-matter experts, or by filing service tickets and/or work orders.
  • Advise Councillors and ward office assistants on the application of council bylaws and policies such as the Councillors Assistants' Policy (PAC005), The Councillor's Budget and Expense Bylaw (36M2021), and the Acceptable Use of City Technology Resources policy (AUP).
  • Provide continuous training to Councillors and Councillors Assistants on a broad variety of matters such as legal, policy or operational requirements for: general administration, financial and operational requirements; enterprise software such as the Microsoft Dynamics 365 customer relations management solution; and budget management.
  • Lead the updating of web communications, replacement and manage inventory of IT equipment, and fill in for absent team members.
 
Qualifications 
  • A completed 2 year diploma in public, business or office administration, or a related field, and at least 5 years of experience in a public sector environment or equivalent multidisciplined organization.
  • Intermediate proficiency with Microsoft Office (Word, Excel, PowerPoint) is required. 
  • Knowledge of the council bylaws and City policies would be considered an asset. 
  • Demonstrated organizational skills, accuracy, a high attention to detail and adaptability to changing priorities. 
  • Success in this position requires political acumen, good judgement, strong communication skills, organizational and interpersonal skills and the ability to work on a team in a changing and political environment.
